Brain Dump
Invite
No prospect created
The first move. An invite is simply extending an offer to connect — a text, a message, a note that says "I'd love to catch up" or "would you be open to a conversation?" There's no agenda beyond opening a door. You're not pitching, not coaching, not proposing. You're just making yourself available. Log it in the activity tracker to keep track of who you've reached out to.
Connect
No prospect created
A reconnection call with someone you've been out of touch with or have had previous conversations with. The intent is relational: checking in on their world, seeing where they are, staying present. It may naturally lead somewhere, but it doesn't have to. Think of this as keeping the door open, not walking through it.
Discovery Call
→ Discovery
A genuine coaching conversation where you're exploring how you might work together. You're listening for the gap between where they are and where they want to be, and beginning to understand whether coaching is the right fit. This is a coaching call. Something shifts for them. They leave with more clarity than they came in with.
Enrollment Call
→ Enrollment
You're coaching them on something real. This is the enrollment conversation: they're in it, not just exploring it. You're helping them see what's possible, creating movement, and beginning to build the case for a deeper engagement. By the end of this call, working together feels obvious and necessary.
Proposal Call
→ Proposal
You're presenting a coaching package: the structure, the investment, and the commitment. This isn't a pitch. It's a clear offer made to someone who already understands the value. You've done the work to get here. Now you're simply naming the terms and inviting them to say yes.
Your Bell Notifications
Everything that fires in the bell is automatic — no setup required. Here's exactly what triggers each one and when.
Follow-Up Reminders
Activity Log
When you log an Invite or Connect Call, the system automatically queues three follow-up touchpoints. Value Touch fires at 3 days, Check-In at 14 days, and Re-Invite at 30 days. Discovery, Enrollment, and Proposal calls are managed through your Prospects page instead. You can turn follow-up notifications off in Settings.
Prospect Follow-Up Date
Prospects
When you set a confirmed call date on a prospect card, the bell fires within 3 days of that date — before and after. If the date has passed and you haven't updated them, it turns red.
Prospect Awaiting Response
Prospects
When you mark a prospect as "Awaiting Response," the bell fires after 3 days if they still haven't responded and no confirmed call date has been set. Goes red after 5 days.
Referral Thank-You
Prospects
When a Gifted Call is logged and a referral source is recorded, the bell fires 2–5 days later reminding you to thank whoever made the introduction.
Not Yet — Reconnect
Prospects
Every 60 days after someone is moved to "Not Yet," the bell fires reminding you to check in. A lot can change in two months. The notification resets on each cycle so it keeps firing every 60 days until they convert or are removed.
Client Engagement Ending
Clients
When a client's end date is within 30 days, the bell fires. It goes amber at 14 days and red at 7 days. Gives you time to have the renewal or next-steps conversation before the engagement closes.
Alumni Check-In
Clients
Every 75 days (roughly 2.5 months) after a client's engagement ends, the bell fires with a check-in reminder. It fires within a 7-day window around each 75-day mark so you don't miss it. Keeps past clients warm without you having to track it manually.
Birthdays & Key Dates
Key Dates
Birthdays fire 7 days out and again on the day. Key Dates (anniversaries, milestones, launch dates, etc.) fire 3 days out and on the day. Recurring dates automatically roll over each year. Add them in the Key Dates section or directly on a client profile.
Custom Reminders
Bell Icon
Set any reminder you want from the bell icon at the top right. Pick a date and time, write what it's for, and it fires on that day. Stays in the bell for 7 days after firing so you don't miss it.
